If you need to prevent a task from appearing in My Timesheets selection menu, you can change the task's status to Unapproved. Please note that doing this will also impact the task's visibility and availability across other areas of the platform.
Marking a task as Unapproved impacts the following pages as described
- My Work
- Task will not appear in the weekly task list for the assigned team member.
- Task will not appear in the Starred Task side panel, if assigned team member had applied a star to the task for personal reference.
- My Timesheets
- Task will not appear in the task list in New Time Entry
- Task will not appear in any of the the 'Quickly find an add' options, even if a user has marked the starred icon for their individual reference.
- Task Board
- Task will not appear Task Board workflow columns.
- Task will not return using page search.
- Scoping
- Unapproved task will appear as it has been assigned. It will show the phase, if applicable, sprint if applicable, Estimated hours, any time registered, the task assignee, workflow status just as any other task would be displayed.
- Any Estimated values will appear as 0 and will not contributed to overall Estimated values for this project as displayed in Scoping.
- Any time registered to the task will not appear in Actual values or contribute to the overall Actual Revenue for the project. If you see actual time registrations, the corresponding actual value will display as 0 until the task is updated and marked Approved. Then, any corresponding Estimated and actual values will calculate as normal.
- Unapproved task modal can be accessed by clicking into the task from Scoping. This would also allow a user to log time from within the task modal if they wanted.
- A user can still log time to an unapproved task using the clock icon in the task's row in Scoping.
- Reporting
- Time Registered Report: Any task marked as Unapproved will not be included in this report, regardless whether or not any time has been registered to the task by any user.
- Task Report: Unapproved tasks are included in this report as long as the report dates are set to encompass the entirety of the task length. This is true of the report's inclusion of any task, though Approved/Unapproved are both included here.
- Project Portfolio Report: Unapproved tasks in projects will not reflect in any Estimated or actual values included in this report.
- Utilization Report: Unapproved tasks will not be included in Estimated or actual values for a team member and will not be included in their utilization values in the report, even if they have registered actual time to the task.
- Platform Search Options
- Unapproved tasks will appear when using the global search. From here, a user can select the task to access the task modal. As noted under Scoping and Task modal, users can report time on unapproved tasks from the task modal.
- Unapproved tasks will not appear when using individual page search bar on My Work.
- Unapproved tasks will not appear when using individual page search in Task Board.
- Unapproved tasks will appear when using the individual page search bar on Scoping.
- Task Modal
- If a user opens the task modal, the task can be altered, edited, updated, set to approved or otherwise changed.
- Time entries can also be logged from within task modal.
