Forecast's Project Portfolio Report is a comprehensive standard report that focuses on multiple financial and project management aspects for the accounts project portfolio. This report is particularly useful if you are using connected projects (see Connecting your projects ) and want to get a good sense of the status of all projects within a portfolio.
By default, only Admins, Controllers, and Coordinators have access to view a project portfolio report. The company portfolio page (company name tab) can be accessed, by default, by everyone but Collaborators.
Depending on your subscription plan, the project portfolio report varies in terms of data. The report for Lite customers contains only basic financial and project information such as rate of project and budget type, project status and client. All of this data can be enabled through the eye icon.

Understanding the Project Portfolio Report
- The project portfolio report is capable of displaying multiple and diverse information that gives a project manager a better understanding of how the company's portfolio of projects is progressing.
- The information displayed will depend on the period (dates) or fiscal year that the project manager chooses to set the report on.
- The report can be grouped to display both connected projects and programs.
- The report draws data from across the entire portfolio of projects gathering all of the financial information and placing it under the appropriate category.
- Primarily, the report is used for the financial tracking of the account's portfolio of projects.
- It is up to the project manager to decide what data will be displayed on the report at any time.
- It is possible to export the report as a CSV at any time.
Breakdown of Project Portfolio Report
The report itself is broken down into three components. Those are:
- General Settings
- Graph
- Details Table
Each of these components can assist with delivering an extensive financial report for the company's portfolio of projects. Below we go over these components.
General Settings
The general settings of the report give anyone with access to the report the ability to ensure that the information displayed on that report is correct. There are multiple settings, those are:
Setting | Function |
Naming the report | It is possible to name or change the name of the report by clicking on the space where the name already exists in the upper left-hand corner of the report. |
Period / Month by Month | This setting determines what period the report should cover. If the Period is chosen then it is going to cover certain months that can be determined from the date selector. If Month by Month is chosen then the report will display the entire fiscal year. |
Date Selector |
If the report is set to Period then the date selector will be available. From there it is possible to change the months that the report is covering. This setting can be found on the right of the data selection. It is possible to select “All Time” in the date picker to see your financial totals in your Project Portfolio Report. You can also select common date ranges like “Previous month”, “Current month”, and “Year to date” in a flash. |
Graph Data Selection | To the left of the date selector is the graph data selection dropdown. From here it is possible to select which data will be displayed on the graph just below. |
Save Report |
The first setting on the right side of the report allows for any changes made to the report like a new name, new periods, and new data, to be saved. To the left of the save report button, it is possible to view who last edited the report and saved it. |
Grouping functionality |
To the left of the Save Report button, the grouping functionality can be found. This functionality allows you to group the report by connected projects or programs.

Export as CSV |
To the right of the 'save report' button is the export as CSV button. Clicking this will download the report in a CSV format. Important to note here that the CSV will NOT download the nested information but only the first layer of information. Warning: Users may export up to 50k rows of data at one time.

Eye Icon |
The eye icon can be found next to the download as CSV button. From the eye icon, it is possible to enable or disable all of the information that can be displayed on the project portfolio report. If the month-by-month option is chosen then there will not be a lot of available options. However, it is possible to get different details from the Month by Month overview of your Project Portfolio Report. It is possible to review the financial figures broken down into Time, Expenses, and Total. The columns can be toggled on or off by clicking the Eye icon while on the Month by Month overview and not the Period overview. |
Filters |
Next to the eye icon is the filters button. It is possible to apply filters to narrow the view of projects that should be displayed in the report. |
Graph
Right below all of the options resides the graph. The graph will display the information that is chosen from the Graph Data Selection dropdown. This data could be:
Data Point | Information Displayed |
Actual Billable Time and Expenses Spent to Date |
This will display the actual revenue and the expenses for the selected dates(periods) or year(month by month). Actual revenue is derived from the hours registered by the team members on a project X role rate X + price on planned past expenses. |
Actual Cost |
This will display the actual cost for the selected dates(periods) or year(month by month). Actual cost is derived from the all-time registrations X internal hourly cost + cost of past expenses. |
Actual Profit |
This will display the profit that the company has gained for the selected dates(periods) or year(month by month). This is calculated by taking actual billable time and expenses and subtracting actual cost. |
Planned Billable Time |
This will display the total planned billable time for the selected dates(periods) or year(month by month). Planned billable time derives from the total hours estimated per project X Role Rate + price on all planned expenses. |
Planned Cost |
This will display the planned cost for the selected dates(periods) or year(month by month). Planned cost derives from the task estimates X internal hourly cost + cost on all planned expenses. |
Planned Profit |
This will display the planned profit for the selected dates(periods) or year(month by month). Planned profit derives from the planned billable time - planned cost. |
Forecast Billable Time and Expenses to Complete |
This will display the forecast billable time and expenses to complete for the selected dates(periods) or year(month by month). Forecast billable time and expenses to complete derives from All remaining billable hours X Role Rate X Price on Future expenses. |
Forecast Cost to Complete |
This will display the forecast cost to complete for the selected dates(periods) or year(month by month). Forecast Cost to complete derives from the Remaining task estimate X internal hourly cost + cost on planned future expenses. |
Forecast Profit to Complete |
This will display the forecast profit to complete for the selected dates(periods) or year(month by month). Forecast profit to complete derives from the forecast billable time and expenses to complete and subtracting forecast cost to complete. |
Total Billable Time at Completion |
This will display the total billable time at completion for the selected dates(periods) or year(month by month). Total billable time at completion derives from the actual billable time and expenses spent to date + forecast billable time and expenses to complete. |
Total Cost at Completion |
This will display the total cost at completion for the selected dates(periods) or year(month by month). Total cost at completion derives from the actual cost + forecast cost to complete. |
Total Profit at Completion |
This will display the total profit at completion for the selected dates(periods) or year(month by month). Total profit at completion derives from the total billable time at completion - total cost at completion. |
Invoiced |
This will display the invoiced amounts for the selected dates(periods) or year(month by month). Invoiced amounts will appear if an invoice has been created and Sent for any of the projects. |
Invoice Paid |
This will display the invoiced amounts paid for the selected dates(periods) or year(month by month). Invoiced amounts paid will appear if the invoices that have been sent for a project have also been paid. |
Total Revenue Recognition |
This will display the total revenue recognition for the selected dates(periods) or year(month by month). Total revenue recognition derives from the amounts of revenue that have already been recognized in projects where the budget allows for revenue recognition to take place. |
Details Table
Just below the graph is the details table. The details table will present all of the data that has been enabled for display in the report. The way that the details table is structured is as follows:
- First layer will show the overall information of a project and the totals for the categories (data) that have been enabled through the eye icon.
- Nested layer goes into more detail by presenting the numbers per phase and per role. The screenshot below illustrates this.
Managing the data displayed
The data that is displayed on the project portfolio report may vary as one project manager might be interested in financial information while another might be interested in project overview information or project hours. To that end, it is possible to decide what data is displayed from the eye icon.
To disable/enable information from the report
- Click on Reports.
- Select All reports.
- Click on an existing Project Portfolio Report or, for a new report, click on New Reports and select Project Portfolio Report.
- Click on the eye icon.
- Select any of the available options or just any of their nested options.
It is important to note that the data which is chosen for display from the eye icon will also be brought over into the CSV export of the report.
Reviewing the RAG Status Description
To edit the RAG color and the description
- Going to the Project.
- Open up Project Settings.
- Navigate to the Status tab.
- See Project Status.
