What is changing?
All four Standard reports are out of beta and updated to absorb the most used report components - People List, Reported time, and Task list. The Timeline component has been replaced with the ability to share them directly from the Schedule Projects and Project Timeline pages.
The Task and Time Registration reports also have new and secure sharing functionality.
The Reporting page has been split into two collapsable sections, one housing standard reports and the other housing the legacy Component reports. With the new view you can navigate faster, see what reports you’ve shared and see what reports you might want to update.
Share Standard Reports Safely
The Task and Time Registration reports can be shared safely with external parties using the recipient's email address. They’ll receive two emails, the first containing an invitation link and the second a temporary password. The first time they try to log in, they are asked to create a new password to access the report in the future.
Head to the Reports page to clearly see which reports you are sharing. Have full control by seeing who you’ve shared the reports with and easily revoke access at any time.
See Creating and Managing Reports to learn more about how to share reports.
Viewing and Creating reports
The Report page has been split into two sections. All your Standard reports you’ve created are grouped up top of the page. These reports include The Project Portfolio Report, Utilization Report, Task Report, and Time Registration Report.
In the bottom section you’ll find all the components-based reports, such as Sprints reports, Project Reports, and more. Both sections can be collapsed, making it easier to navigate and find the legacy Component reports that might be ready for an update. Using the Standard reports, you’ll have a safer sharing functionality and faster loading times.
When you create new reports you’ll also see the split between the legacy Component and new Standard of reports.
Replaced Components
With the Standard reports out of beta we have removed the components that they are absorbing. Any existing reports using these components will still be accessible, however, you can’t use them when creating new Component reports. These components are:
- People list
- Reported time
- Task list
- Timeline
People list is now a part of the Standard reports called Task Report and Time Registration Report. You’ll find the Reported Time component in the Time Registered Standard report, whilst the Task list has been absorbed into the Task list Standard report.
The Timeline component has been replaced with the ability to share timelines directly. Head to Schedule Projects to share the overview of all projects. You can also share the timeline for individual projects from the respective Project Timeline page.
Other Improvements
Get financial totals with a single selection
See your projects' total in your Project Portfolio Report by selecting 'All Time' in the new date picker. You can also select common date ranges like 'Previous month', 'Current month', 'Year to date' in a flash.
Month By Month broken down into Time, Expenses and Total
Get more details from the Month by Month overview of your Project Portfolio Report. You can now see your financial figures broken down into Time, Expenses and Total.
The columns can be toggled on or off by clicking the Eye icon. You'll find the icon next to the download as CSV button.
Why Forecast is Updating the Reports
The Standard reports have been built to meet our customers’ core reporting needs; as well as being ready to use out of the box and load faster. This was made possible by rewriting the code they were built on and testing them extensively during the beta phase.
Report sharing capability has also been highlighted as a priority for our customers. With the improved sharing function, the reports can be shared safer than before. Have peace of mind by seeing what reports have been shared, who they’ve been shared with, and revoke access at any point. In the future, you’ll also be able to share The Project Portfolio and Utilization Reports.
What do I need to do?
Your current reports will remain unchanged. This includes reports created with the legacy components (People list, Reported time, Task list, Timeline) that are being replaced with the Standard reports. However, you won’t be able to use them when creating new Component reports.
This is a great opportunity to revise your reports and identify what you’d like to update to a Standard report with safer sharing functionality and faster loading time. The new reports page shows the Standard reports on top with a collapsible view, and the legacy Component reports at the bottom.
All the shared reports are clearly marked on the reports page. If you’re unsure who has access to the shared legacy Component reports you can replace them with Standard reports that have a transparent access handling.
