This article explains what your clients see when they log in to their Client Workspace, and how they use it to follow their projects, track retainer usage and sign off work. You can share it with your clients directly.
Some of what's described here depends on how your team has set up the workspace. If a section isn't visible, it may be turned off for your organization or for your role.
Logging in
Your delivery team will send you an invitation or a login link. Open it to go straight into your workspace.
Note: Login links expire after 15 minutes and can only be used once. If yours has expired, ask your delivery team to send a new one.
Finding your way around
The left sidebar is how you move around the workspace:
Client dashboard: All engagements, including active projects, total budget consumed, items pending your action, completed phases, active retainers, projects, and anything that needs your attention.
My items:
Projects: each project shared with you is listed by name. Select a project to open it.
All projects: an overview of every project you have access to.
Approvals: anything waiting for your sign-off.
Retainer burn: usage for your active retainers.
Your name and role are shown at the bottom of the sidebar.
Viewing all your projects
The All Projects page gives you a summary of your work with your delivery team.
The tiles at the top show your Total projects, how many are Open and Closed, and how many items are Pending your sign-off.
Use the All, Open and Closed tabs to filter the list.
The project list shows each project's Health, Progress, End date, Type, and whether anything is Awaiting you.
Viewing a project
Select a project to open its Overview.
Summary: shows the project's health, progress (how many phases are done), projected hours and hours logged so far.
Phases: lists each phase with its dates, status and completion percentage. Expand a phase to see its tasks, who is working on each one, the due date and the task status. Select Collapse all to close every phase.
Timeline: select Timeline under the project in the sidebar to see the phases on a timeline. Use Fit, Week, Month or Quarter to change the view.
If the project is a retainer, a Retainer tab also appears next to Overview. See Tracking retainer usage below.
Viewing a task
Select any task to see its details, including the assignee, start date, due date, the phase it belongs to and the time logged. You can also read and add comments on the task.
Tracking retainer usage
Retainer burn in the sidebar shows every active retainer for the current period, including:
The percentage of the period's target used, and hours used out of the target.
Hours remaining and working days left in the period.
A trend for recent periods, colored to show whether usage is within target, approaching the limit or over target.
Select View detail on a retainer to open its Retainer tab, where you can:
See the retainer type, total target, hours used to date and period dates.
On the Periods tab, view every period with its target, hours used, hours remaining and burn. Filter by Past, Current or Future periods.
On the Tasks tab, choose a period to see the tasks in it.
Signing off work
When your delivery team finishes a phase that needs your approval, they'll send it to you for sign-off.
Open Approvals in the sidebar to see everything waiting for you. If nothing is waiting, the page will tell you.
The Pending your sign-off tile on All Projects and the Awaiting you column show where your approval is needed.
To approve a signer, go to Approvals and click Open Decision. You’ll then have the option to Cancel, Request Changes, or Sign Off.
Once you've signed off a phase, it shows Signed off with the date on the project.
Comments and notifications
Comments: you can comment on a project or a task. Type your message in Add a comment, use Mention to tag someone, and select Post. Comments are visible to everyone in the workspace, including your delivery team.
Notifications: select the bell icon at the top of the page to see updates about your projects.
Client Workspace is available as a paid add-on module. To enable it for your team or talk through pricing, reach out to your Account Manager.
