Before you start
Every workspace user is linked to a contact on the client. If the person doesn't exist as a contact yet, you can add them first from the client's Overview page by selecting Create Contact:
Or from the invite form itself using Add a new contact:
Inviting a user
From the top navigation, go to Clients > Clients and select the client.
In the left sidebar, select Workspace.
Scroll to the Workspace users section and select Invite user.
In Contact, select the person you want to invite.
In Role, choose what this person can do. See Choosing a role below.
In Visibility, choose which projects this person can see. See Choosing visibility below.
Select Send invitation.
The user is added to the Workspace users list. The summary at the top of the list shows how many users are active and how many invitations are still pending.
Choosing a role
The role sets what the user can do in the workspace.
Role |
Use it for |
|---|---|
Client Executive |
A senior stakeholder who oversees the work and can sign off phases. |
Active Collaborator |
Someone who works with your team day to day and can sign off phases. |
Billing Contact |
Someone on the billing side of the relationship. A Billing Contact can't sign off phases. |
Choosing visibility
Whole client org: the user can see every project that is shared with this client's workspace.
Specific programs/projects: select the individual projects this user should see. Projects that haven't been added to the workspace yet are marked not shared with the portal. The user won't see those projects until you turn on Show in client workspace for them.
Managing existing users
Each user in the Workspace users list shows their:
Contact
Role
Visibility
States (Invited, Pending, Active)
Actions
Get login link: creates a direct login link for this user, which you can copy and share with them. The link expires after 15 minutes and can only be used once. This is also a quick way for you to see the workspace exactly as this user sees it.
Edit: change the user's role or visibility, then select Save changes.
Deactivate: remove the user's access to the workspace.
Role and visibility changes take effect straight away.
Where to go next
Enabling Client Workspace and Managing Phase Approvals on a Project: make sure the projects this user needs are shared to the workspace.
Using the Client Workspace (for your clients): what your client sees once they log in.
Client Workspace is available as a paid add-on module. To enable it for your team or talk through pricing, reach out to your Account Manager.
