All Timelines provides an all-encompassing overview of your project pipeline. It is an interactive Gantt chart that allows you to view your all of projects, phases, allocations, tasks and team members for the coming days/weeks/months in a single place. While All Timelines is similar to People Schedule, it is designed for managing projects while People Schedule is designed for managing resources. What is All Timelines?
All Timelines is a visual representation all projects across your portfolio. It includes all projects, programs, connected projects, phases, tasks, team members, and placeholders. All Timelines gives you a clear view of your past, current and future projects and is used to review projects, assigned work, and demand from a single location.
Permissions
- For standard permissions, All Timelines is available to Coordinators and above.
- Custom permission profiles require Manage projects for access to All Timelines. For more information on permissions, check out: Permissions: How they work
General Features of the Timeline
In All Timelines, projects are listed in order of earliest start date. Their appearance is based on project stage.

Features
- Project List: Expand a project to see tasks and phases, project team members and any placeholders, if applicable.
- Eye: Show/Hide weekends if your company settings enable weekends at the user level.
- Task dependencies: Create and view task dependencies. To learn more about working with task dependencies see Adding and managing task dependencies.
- Share: Create a link and share a copy of All Timelines with internal or external stakeholders.
- Filter: Review a subset of data, such as a team, department or project. Additional options include Require all, Exclude and Save Filters.
Additional Features
The following Timeline features are available to clients using one of the following resource management settings:
Use win probability: Adjust the timeline to display Opportunity stage projects based on their assigned win chance.
Exclude allocations: Choose to exclude hard or soft allocations in the timeline.
Using All Timelines to Manage Your Projects
All Timelines provides a high level overview of your projects, their phases, tasks and team members in a single place, making it easy to review, analyze or adjust project tasks, team members, assigned work and allocated project time across your current and upcoming project pipeline.
Create New Tasks and Phases
Expand a project from the left side panel then click into the schedule and hold, drag and release to create new tasks or phases. Select Task or Phase, then assign the project, define give it a name, its date range, give it name and click Create.
To create a phase
- Use click, drag and drop to Create New.
- Select Phase.
- Complete the form and click Create.
To create a task
- Use click, drag and drop to Create New.
- Select Task.
- Complete the form and click Create.
Update Tasks or Phases
Expand a project from the left side panel. Find the task or phase to update. Use drag and drop to adjust start and/or end dates. For tasks, right click to edit or left click to open task modal.
To update a phase
- Click, hold and drag either side of the phase bar to adjust its start or end date. Task dates do not update.

Click and hold the phase bar, then drag and drop to a new position. Task dates update.
To update a task
- Click, hold and drag either side of the task bar to adjust its start or end date.
- Right click to add indicators, duplicate, move or delete the task.

Left click to open the task's modal to add/remove assignees, register time, add a new comment or update workflow status.
Create, Allocate, and Assign Placeholders
Placeholders can be created, allocated to project time and assigned to actual resources in All Timelines.
To create, allocate or staff a placeholder
- Expand Placeholders.
- Click +, complete the form and click create.
- Click in the timeline, hold, drag and drop.
- Complete the Allocate form.
- Click Assign to transfer the placeholder allocation to an actual resource.
Manage the Project's Team
Add or remove project team members or review existing allocations for project team members.
To manage the project team.
- Expand Project Team.
- Use + to add new team members and allocate project time or Skip to create allocations in the future.
- To remove team members, use the three dots and select Remove from this project.
