The Pipedrive for Forecast integration lets you automatically create projects from Pipedrive deals, with the associated project status and win probability. As deals move through your Pipedrive pipeline, the project status and win probability update automatically, keeping you Sales and Delivery Teams in sync.
This article covers:
- Converting Deals into Projects
- Turning Deal Activities into Tasks
- Automating Project Creation Using Templates
- Linking Existing Projects with Pipedrive
Converting Deals into Projects
After activating the integration, the Pipedrive integration page displays the deal stages from your Pipedrive pipeline. Select the pipeline from the dropdown and use the table to configure which stages will generate a new project in Forecast.
When a deal is created or updated in Pipedrive, the following fields sync from the Pipedrive deal to the Forecast project.
| Pipedrive | Forecast |
|---|---|
| Deal Name | Project Name |
| Deal Amount | Project Budget |
| Deal Stage | Project Stage |
| Organization | Client Name |
By default, deals from Pipedrive are imported as Fixed Price projects in Forecast.
However, if you use project templates (see below) and have one configured with a T&M budget, you can apply that template to import deals as T&M instead.
To convert deals into project
- Click on Admin in the navigation bar.
- Select Integrations from the dropdown.
- Click on Pipedrive.
- Scroll to Deal Stages.
- In the dropdown for Select Pipeline, select your pipeline.
- Review the deal stages and select the corresponding project stage from the Forecast dropdown. As deals move through your pipeline, their linked Forecast projects also move to the corresponding Forecast stage.
- Use the Create Project toggle to identify which deal stages will create new projects.
Turning Deal Activities into Tasks
Deal activities can be converted into tasks within the linked project. Identify which Activity Types will create tasks by enabling the toggle.
To create tasks from Deal Activities
- Click Admin.
- Select Integrations from the dropdown.
- Click on Pipedrive.
- Scroll to Activity Types.
- Use the toggle to identify which activity types to use to create Forecast Tasks.
Automating Project Creation Using Templates
With a project template you can re-use the structure of an existing project and apply it automatically when a new project is created. Templates help streamline project setup by ensuring consistency and reducing manual configuration. Templates are especially useful when the same type of project is frequently applied to multiple deals by saving time and improving workflow efficiency.
To export a project template to Pipedrive
- Click Admin.
- Select Integrations from the dropdown.
- Click Pipedrive.
- Scroll to Project Template.
- Use the toggle to enable templates.
- Select the template project from the dropdown.
- Adjust the Reference as needed.
- Click the green + to add your template selection.
-
Select which details from the template will appear in new projects:
Note: If a template contains Baseline, the Work/Expense estimates copy to any new project created from that template.
- Toggle Default for the template that will be used to create new projects that do not have a template defined within the Pipedrive deal.
- Click Export to Pipedrive. A notification displays at lower left identifying that the template was successfully exported to Pipedrive and appears within the deal's Details.
Once a template is exported to Pipedrive, it is available for selection within Pipedrive deals.
