Capacity Overview lets you analyze your current capacity using a heatmap and a capacity graph. It provides a more realistic estimation of your resource needs by factoring in your pipeline’s win probability and comparing available versus needed resources.
This article covers:
What is Capacity Overview?
Capacity Overview provides insight into how many resources are available and how many placeholder resources are needed. It helps identify potential resource shortages or available capacity. The view is grouped by roles and includes filters to drill down into relevant details.
Capacity Overview is available for the following resource management settings:

Features & Functionality
Capacity Overview shares many features with People Schedule, with the addition of a Capacity graph.
Capacity Graph
- Visualize total resource availability, overallocations by role, placeholders, and soft/hard allocations.
- Hover over any column to view a summary.
- Toggle the graph on or off using the eye icon.
Heatmap
- Displays resource utilization for team members and placeholders, grouped by role.
- Add or edit allocations directly from this view.
Use Win Probability
- Adjusts the demand of soft and placeholder allocations based on a project’s Win Chance.
- Hard allocations are not impacted by win chance.
Example:
- An Opportunity project has a 50% Win Chance.
- A placeholder is allocated 40h to the project.
- 40h × 50% = 20h adjusted demand
Exclude Allocations
- Choose to exclude soft or hard allocations from the view.
- Helps you isolate either tentative demand or confirmed assignments to better assess available capacity.
Filters
- Filter by role, skill, department, person, team, or project.
- Narrow the dataset to focus on relevant capacity and demand insights.
Create/Manage allocations
- Create new hard/soft or placeholder allocations or edit existing ones.
Manage Placeholders
- Edit/delete existing placeholders
