How Asana data migrates over to Forecast
When migrating from Asana, the following data-mapping rules apply in the cases where Asanas structure varies from Forecasts':
- For Asana projects with a layout of 'list', sections are translated as phases.
- For Asana projects with a layout of 'board', sections are translated as status columns, where the first column is assumed to be a 'To-do' column; the last column is assumed to be a 'Done' column and the remaining columns are assumed to be 'In progress' columns.
- If an Asana project does not have a 'To-do' or a 'Done' column, a default column of the missing type is created in Forecast.
- As to whether or not a task is completed, is shown using status columns in Forecast. Completed tasks in Asana projects with a 'board' layout, which are not placed in the column assumed to be the 'Done' column, will not be shown as completed when migrated to Forecast.
Asana integration setup and disabling
Setting up the integration is quick and easy. Follow the steps below to set up the connection between Asana and Forecast.
To set up the Asana integration for Forecast
- Click Admin in the top bar.
- Select Integrations from the dropdown.
- Click on the Asana icon.
- From the Asana menu, click on the Activate button.
- Log-in to Asana.
- Once logged in, it is necessary to Grant permission.
- Click on Allow to complete the process.
The Asana integration is now set up and you are ready to migrate projects and team members from Asana to Forecast.
To disable the Asana integration
In case you wish to disable the integration with Asana, follow the steps below:
- Click Admin in the top bar.
- Select Integrations from the dropdown.
- Click on the Asana icon.
- From the Asana menu, click on the Disable button.
The integration will then cease to sync the two platforms and new projects in Asana will not be viewed by Forecast.
Migrating projects and team members
Now that the setup is done, Forecast will be able to view all of the projects that exist in the Asana environment. To migrate those projects over to Forecast follow the steps below:
To migrate projects to Forecast
- Click Admin in the top bar.
- Select Integrations from the dropdown.
- Click on the Asana icon.
- Select the projects you wish to migrate from the list that appears right under the Asana logo. You may choose all of them at once by clicking on Select All.
- Once selected, click on Import.
After a short time, the projects will be migrated over to Forecast and migrated projects will appear under the Migration log which is the second half of the Asana menu page.
Migrating team members from Asana
If the project in Asana contains team members that already have a profile in Forecast then their profiles will be synced. Otherwise, if there are team members on the Asana project that do not have a Forecast profile, new virtual profiles will be created for those team members if there are seats available.
