Overview of Schedule Projects
How it works
The project heatmap in the Schedule Projects page is an interactive Gantt chart that allows you to view your projects, phases, tasks and team members for the coming days/weeks/months.
The heatmap itself is interactive and is used for several functions.

Resource Demand |
Defines a project without task estimates identifying the need to add roles and estimates |
Project Capacity |
Displays the project ID, project name, start/end dates, client, roles within the project and their corresponding capacity, remaining tasks and capacity difference. The project bar will be shaded with color to indicate projects in Running stages or depicted by a shaded outline for projects in Opportunity or Planning stages. |
Connected Project Capacity |
Displays the project ID, project name, start/end dates, client, roles within the project and their corresponding capacity, remaining tasks and capacity difference for connected projects. The project bar will be shaded with color to indicate projects in Running stages or depicted by a shaded outline for projects in Opportunity or Planning stages. |
Create/edit phases |
Click and drag within the heatmap to create a new phase Click and drag an existing phase to adjust the phase start/end dates including all task start/end dates within the phase. Hover over the phase in the heatmap to display the project client as well as phase name, dates progress and capacity. |
Create/edit tasks |
Click and drag within the heatmap to create a new task. Click and drag an existing task to adjust the start/end dates. Click on a task to open the task modal. Right click a task to add task indicators, duplicate, move to another project, or delete the task. |
Create/edit allocations |
Click and drag within the heatmap to create a new allocation. Click and drag an existing allocation to adjust the start/end dates. Click on an allocation to open the edit allocation modal. |
Create/view or edit placeholders |
Click the '+' to add a placeholder for a project. Create or edit placeholder project allocations. Assign placeholder allocations to team members. |
Project List
On the left side of the heatmap you can view the list of projects. Projects are ordered by their start date.
By clicking the dropdown button next to each project's name, you can expand the project details to display the project's phases and the tasks contained in each phase and the project team.
- Click on the scope icon next to a phase to adjust the calendar display to the start date of the phase.
- Click on the three dots next to any placeholder to find an available person, edit the placeholder or delete it.
- Click on the + icon next to Project Team to quickly add people to the project. Complete or skip the following allocation assignment.
- Click on the three dots next to a project team member to remove them from the project.
Show/hide (Eye icon)
Use the Eye to show or hide weekends on the heatmap.
Dependency Chain
Click the dependency chain icon to lock or unlock task dependencies allowing you to adjust single tasks or dependent sub tasks.
Expand/Collapse
Click the double down-facing arrows to expand all dropdowns in the project list. Click the double up-facing arrows to collapse all expanded dropdowns in the schedule.
Share
Click the share icon to open the heatmap in a new tab with added options to print or Copy Link.
Calendar Navigation
- By clicking on the arrows around the Today button you can navigate the calendar.
- Click the Today button to return to the present day.
Zoom in and out
The + and - buttons allow you to zoom in and out of the heatmap view. This allows you to get a daily, weekly, monthly, or quarterly view of your schedule.
Search bar
The search bar allows you to quickly find a resource in the heatmap. The search bar on this page may only be used to search for resources.
Filter
Filters enable you to filter the schedule projects page and find everything faster. By default, the filters are set to projects but by clicking on More options you may change it to either people or tasks. Filtering now also includes an advanced option toggles allowing you to select Require all or Exclude depending on the filter selection.
Use win probability
Adjust the toggle to view soft project allocations and placeholder demand by the project's win chance. Allocation estimates will be determined by the probability the project will be won and update to display as such in the heatmap.
Exclude allocations
Adjust the view of the heatmap by allocation type. Opt to view only soft allocations, hard allocations or both.
