Roles identify team members based on the job they perform within your organization. They define a team member's position within a project, establish billable hourly rates as assigned in your rate cards, serve as placeholders in Capacity Planning, and provide flexibility in timesheet reporting. Team members are assigned a primary role, but may hold different roles within specific projects or select roles when registering time. Roles also appear throughout the platform as page groupings or filters.
This article covers:
Adding a new role
Roles are created by Admin users and assigned to team members. You can create as many roles as you need. Once a role is added it can then be assigned to a team member. To assign roles to your team members, see People: Adding and managing users.
To add a new role
- Click Admin in the top bar.
- Select Resources.
- Click Roles.
- Enter the name of the new role.
- Click "Add Role".
Editing an existing role
It is possible to change or edit roles as needed. The two columns on the right of each role name indicate the number of People with role and Time Entries with role. These at-a-glance values detail the effect a role edit may have on existing users or time registrations.
To edit an existing role
- Click Admin in the top bar.
- Select Resources.
- Click Roles.
- Click into the name field for the role you need to edit and make changes.
- The role name change is committed upon clicking outside of the role name field.
Deleting a role
It is possible to delete roles within Forecast, though you should consider the implications of doing so. Deleting roles may impact historical project and team member data. If a role has associated time registrations, it will not be available for deletion.
To delete a role
- Click Admin in the top bar.
- Select Resources.
- Click Roles.
- Hover over the role you wish to delete.
- Click Delete.
- Confirm the warning, then click Delete.
- If the role is associated with time registrations, you will not be able to delete it. Instead, this message will display.
