Why am I unable to delete my own or my colleagues time registrations from their timesheets?
Answer
There are a few reasons why time registrations might not be available for editing or deleting. To find out the exact reason why, navigate to the Timesheets page in Forecast and find the time registration. If it is not possible to delete it it will be greyed out and by hovering over the reason will be provided.
Below are the potential reasons:
- Hours have been invoiced: The hours in question have already been invoiced and the invoice is set to 'Sent' status or has been exported to one of the invoicing integrations. In this case it is necessary to change the status of the invoice, delete it so that the hours are freed up.
- Hours have been approved: This happens if time approval is enabled in the account. This means that it will be necessary to navigate to the time management tab in the company portfolio tab, find the approved hours, and reject them. This will free them up and they will be able to be deleted afterwards. You can learn more here.
- Hours are locked behind timesheet locking: In this case, the timesheet locking feature is enabled and the hours in the timesheets may not be edited or deleted. The user will have to either disable the feature or add the user who's timesheets need to be amended as an exception. You can learn more here.
- Hours were created in the Schedule People page: It is recommended is to create time off allocations in the Schedule People page first and from there enable them to appear in the users timesheets page. This allows for that time to appear in both the schedule and the timesheets at once as the schedule people can communicate with the timesheets and populate it with the data whereas timesheets cannot. If this is the case why you are unable to delete a time registration, go to schedule people page, find the time off allocation and delete it from there. The hours will automatically be deleted from the timesheets.
