Enabling the Outlook integration
The Outlook calendar integration must be enabled by Admin users before individual users can link their Forecast profiles to their Outlook calendars.

Click on Admin in the top bar.

Select Integrations from the dropdown.

Locate Calendar and click to access the integration's page.
- Click on Activate.
Syncing your Forecast profile with Outlook Calendar
Once a Forecast Admin user enables the Outlook integration, individual users can then link their Forecast profiles to their Outlook calendar. Once integrated, users can see their assigned tasks in their Outlook calendar, view the task details and register time.
- Click on the Profile icon at the top right.
- Select Profile from the dropdown. .
- Scroll to Calendar Integration.
- Copy your unique iCal link.
- Open Outlook Calendar (Web app or Native app).
- To add the calendar URL in your Outlook calendar, follow the steps depending on whether you use Web Access or Native App.

For Outlook calendars using Web Access
- Click Add calendar > From Internet.
- Insert your iCal link into "Link to the calendar", give it a name and click Save.
- Click Add calendar > From Internet.

Your assigned tasks from Forecast should now show in your calendar.
- For Outlook calendars using Native App
- Click File > Account Settings > Account Settings.
- On the Internet Calendars tab, click New.
- Insert your iCal link from Forecast into the text field and click Add.
- In the Folder Name field, type the name of the calendar as you want it to appear in Outlook.
- Click OK.
Your assigned tasks from Forecast should now appear in your calendar.
Accessing tasks from the calendar
Accessing your assigned tasks from Google Calendar makes it easy to manage your time and assignments from a single place.
To access your tasks from Outlook Calendar
- From your calendar, double click on the task to open the task event.
- Click 'Open Task'.
- You will be redirected to Forecast where the task modal will open for the task selected.
- Use the task modal to review task details, assignees, due dates and description.
- You can log time from the task modal or you can use the Register Time link from the task in Outlook.
Registering time from the calendar
The Outlook Calendar integration makes it easier to view your assignments and log time. Registering time using the calendar link prefills the task/project details directly within Forecast eliminating the need to search through your assigned work and select the task you are working on.
To register time from Outlook calendar
- Double click on a task in Outlook calendar to open it.
- Click Register Time to log time directly from the calendar.
- A new browser tab will open where you will be directed to My Timesheets in Forecast where the project and task details will be prefilled in the New Time Entry section of the page.
- From here, enter the amount of time you need to register and click 'Add'.
Removing Forecast from your Outlook calendar
If you need to disconnect the Outlook Calendar integration, you can unlink it at any time by removing the calendar from your Outlook account.
To remove Forecast from your Outlook calendar
- Click on the three dot menu at the top left side of the calendar.
- Scroll down to Other Calendars and find Forecast.
- You can remove the display of tasks only by clicking the check mark next to the calendar name to disable.
- To completely remove Forecast from your Outlook calendar, click on the three-dots icon next to the calendar name and select Remove.
